HVAC Coordinator
Location: Ridgeland, MS

Key Responsibilities:

Scheduling & Dispatching

  • Assign and schedule technicians based on location, skill set, and job urgency.

  • Maintain an efficient dispatch calendar to reduce travel time and increase productivity.

  • Monitor and adjust schedules throughout the day for urgent requests or changes.

  • Provide ETA updates and communicate professionally with customers to confirm or reschedule appointments.

Work Order & System Management

  • Create, track, and close work orders in the ERP system with accurate documentation.

  • Coordinate with office staff to ensure billing paperwork is completed on time.

  • Track technician needs for return visits, repairs, parts, and equipment.

  • Enter service quotes and assist with ordering and tracking parts.

  • Prepare weekly technician payroll.

Technician Support

  • Serve as the main point of contact for field technicians.

  • Provide job details, directions, and updates as needed.

  • Maintain accurate customer and job data in dispatch or CRM systems.

  • Report on metrics like PM compliance and response times.

  • Identify recurring issues and collaborate with management on solutions.

Emergency & After-Hours Support

  • Manage emergency and after-hours service requests, coordinating with on-call technicians and updating all stakeholders.

Compliance & Safety

  • Ensure scheduling aligns with safety and regulatory guidelines.

  • Communicate safety protocols and stay up to date with HVAC compliance standards.

Qualifications:

  • Strong organizational and multitasking skills

  • Excellent communication and customer service skills

  • Ability to thrive in a fast-paced environment

  • Experience with dispatch or CRM systems is a plus

  • Basic understanding of HVAC industry terminology is helpful, but not required

Pay Range: $28.00-$36.00
